How To Share A Shipping Record With An Out Of Network Trading Partner
Overview
FSMA 204 requires organizations to share FSMA 204 compliant shipping records with all customer organizations receiving orders containing FTL items. For Out of Network Trading Partners, an email containing a link to the shipping record will be automatically sent once the shipping record is captured in your account. The below steps outline how to setup email based sharing of shipping records with Out of Network Trading Partners.
Setup Out of Network Trading Partner
- From the Customer Portal Homescreen, click on the Networks menu and click the Connect My Customers button.

- Click the Connect Trading Partners button.

- Click the Upload a CSV button.

- Click the Trading Partner Customer Template link to download the required template. Fill in the template with all of your customers' names (Partner Name) and a relevant Contact Email at that company. Save the file in CSV file format and then upload it using the Upload List button.

- Your customer upload results will be sorted into either In-Network Matches, Potential Trading Partner Matches and Out-Of-Network Trading Partners. If the customer list you uploaded a customer name and email address that Trace Exchange does not have record of, that customer will be added as an Out of Network Trading Partner. To view the Out of Network Trading Partner you just setup, click on the Out of Network Partners button.

Adding A Location For An Out of Network Trading Partner
- From the Out of Network Partners menu, click the Add Location button.

- Enter all location information and select Email as the Delivery Method. Click the Save button when complete.

- You can now View and Edit the Out of Network Trading Partner Location if needed.

Submit A Shipment To Out Of Network Trading Partner
- From the Customer Portal Homescreen, click on the Trace Exchange menu.

- Click the Shipping button.

- Click the New Shipment button.

- Fill out the relevant shipment details including selecting the Ship To Company and Ship To Location of the Out of Network Trading Partner that you just setup.

- Continue by adding pallets and products to the shipment and submit once complete. After submitting the shipping record, Trace Exchange will automatically send an email to the designated Out of Network Trading Partner based on the email address that was used when setting up that Out of Network Trading Partner. The email will contain a link that your Out of Network Trading Partner can click on to access the shipping record details.
