How to Set Up a New Supplier EDI Connection

Overview

Once your EDI subscription purchase is complete and payment has been processed, you can begin setting up your EDI connection to start transmitting ASN 856 shipping records to your customer trading partner.

Prerequisites

Before starting setup, confirm the following statuses are visible in Trace Exchange on the EDI Connection Setup page for the Customer Trading Partner you are configuring. 

  • Subscription status: Active

  • Connection status: Pending Setup

These statuses indicate you are ready to proceed with configuration.

Completing the EDI Setup

  1. Navigate to the Setup tab on the EDI Connection Setup page.

  2. To establish your EDI 856/ASN connection, enter the required identifiers and connection details.

    • Enter all mandatory fields accurately.

    • Ensure the information matches what your customer has on record.

  3. Click Save once all required fields are completed.

  4. After saving, you will proceed to the testing step to confirm the connection.

Note: Missing or incorrect information may delay your ability to transmit ASNs.

Submitting a Test Shipping Record

After completing setup, you must submit a test ASN using the Trace Exchange Data Capture App.

  1. Navigate to the Trace Exchange tab.

  2. Open the Shipping app.

  3. Click New Shipment.

  4. Fill out all required shipment fields.

    • Ensure the Ship To field is set to the customer trading partner you purchased the EDI connection for.

  5. Click Submit when finished.

Test Record Statuses

  • After submission, the shipping record will display a status of Pending while it is being transmitted.

  • If an error occurs, the record status will update to Failed.

    • Click into the record details to review the error.

    • Click the three-dot menu on the right side of the record, select Edit, correct the errors, and then click Submit to Resubmit the record.

Note: Submitting a Test record for an EDI connection may take up to 10 days.

Connection Completion

  • Once the customer trading partner acknowledges the test record:

    • The test shipment status will update to Completed

    • The Connection status will update to Connected

      • This will be reflected on both the EDI setup screen and the customer card in Trace Exchange

Your EDI connection is now fully set up and ready for live ASN submissions.
